The NetSuite Transaction Cycle: From Production to the Customer's Door
The full document chain — Work Order, Assembly Build, Item Receipt, Sales Order, Item Fulfillment, Invoice, Deposit — and what each step changes in stock and in the ledger.
Every physical event — material arriving, finished goods being produced, a delivery reaching a customer — is represented by a document in NetSuite. Each document has one clear job, and most of the number chaos in the field comes from documents being skipped or created in the wrong order.
There is only one question you need to read the whole cycle: does this document change stock, change the ledger, both, or neither.
Raw material coming in
- 01Purchase Order — a commitment to the supplier. Changes neither stock nor the ledger.
- 02Item Receipt — goods arrive. Stock increases and inventory value enters the ledger, even though no bill has arrived.
- 03Vendor Bill — the supplier's invoice becomes a payable. It clears the temporary account created at receipt.
- 04Bill Payment — the payable is settled, cash decreases.
Production
- 01Work Order — a production order based on the Bill of Materials. It changes nothing; it is a plan.
- 02Work Order Issue — components leave the warehouse for the shop floor. With WIP enabled, their value moves to Work in Process.
- 03Work Order Completion / Assembly Build — the finished item exists. Components decrease, finished goods increase, value moves accordingly.
- 04Work Order Close — the difference between planned and actual cost is recognised as a variance.
Goods going out to the customer
- 01Opportunity / Estimate — the quoting stage. Changes neither stock nor the ledger.
- 02Sales Order — the order is approved. Stock does not decrease yet, but part of it is committed so it cannot be promised to another order.
- 03Item Fulfillment — goods genuinely leave the warehouse. Stock decreases here, not at the Sales Order.
- 04Invoice — the bill is issued. Revenue and the receivable are recognised.
- 05Customer Payment — payment arrives, the receivable decreases.
- 06Deposit — funds are banked and ready to reconcile against the statement.
What each document touches
| Document | Stock | Ledger |
|---|---|---|
| Purchase Order | Increases On Order | No |
| Item Receipt | Increases On Hand | Yes |
| Vendor Bill | No | Yes |
| Work Order | Commits components | No |
| Assembly Build | Components down, finished goods up | Yes |
| Sales Order | Increases Committed | No |
| Item Fulfillment | Decreases On Hand | Yes |
| Invoice | No | Yes |
| Customer Payment | No | Yes |
| Deposit | No | Yes |
The same pattern repeats across the whole cycle: intent documents (PO, WO, SO) do not touch the ledger, movement documents (Receipt, Build, Fulfillment) touch stock and its value, and financial documents (Bill, Invoice, Payment) touch receivables, payables and cash. Once you hold that pattern, any NetSuite transaction can be read without memorising them one by one.
