CRM in NetSuite: From Lead to Customer
What the CRM module actually does, how one record moves from Lead to Customer, and the point at which sales activity starts touching financial numbers.
CRM (Customer Relationship Management) covers everything that happens before a transaction, and the relationship that continues afterwards. If the ERP answers what has happened, CRM answers what might happen — which is exactly why its data cannot be poured straight into financial reports.
One record, several stages
Something distinctive to NetSuite that regularly confuses newcomers: Lead, Prospect and Customer are not three different record types. They are one entity record with different statuses. The record moves up the stages as the relationship develops, carrying its whole history with it.
- 01Lead — a contact that has just arrived from an exhibition, the website, or a prospect list. Not necessarily relevant yet.
- 02Prospect — qualified: the need is clear, the budget is plausible, and the person has authority.
- 03Opportunity — a potential sale with an estimated value, a probability and an expected close date. This is the raw material of a forecast.
- 04Estimate / Quotation — the formal quote listing items and prices.
- 05Sales Order — the quote is accepted. From here the flow hands over to Order to Cash.
- 06Customer — the status changes once a sales transaction exists.
The objects used day to day
| Object | Purpose |
|---|---|
| Campaign | Marketing activity; where leads come from |
| Lead / Prospect / Customer | The entity whose status develops |
| Contact | A person inside the customer's organisation |
| Opportunity | A potential sale with its value and probability |
| Estimate | The formal quote |
| Task, Phone Call, Event | Activities recorded against the entity |
| Case | A complaint or support request after the sale |
Where it meets finance
Not one of the objects above touches the ledger. A billion-rupiah Opportunity adds nothing to revenue. Numbers only enter the financial statements when an Invoice is issued — several steps after CRM has finished its work.
The practical consequence: a pipeline report and a sales report answer different questions and will almost always show different figures. Placing them side by side without explanation is the fastest way to make a management meeting argue about data instead of decisions.
